Our Policies

Session Information and Policies:

​

  • At the start of each session, the attendee will be greeted by the session leader and asked to take their shoes and socks off. For classes, there will be an area to put their possessions; they can keep their water bottle with them. (If the attendee needs help with this, you are of course welcome to come in and help. You may remain with them if they need settling until all attendees have arrived. If the attendee has any thing infectious such as a verruca, please advise the session leader and ensure it is kept covered to avoid it being spread)

  • Each session, they will be asked to start off sitting on the mat. For classes, they may not be in the same space every time, but the layout will always be the same.

  • All the equipment needed will be laid out - including a sheet with the question “Is it okay for me to touch you in today’s session?”. The attendee will always be asked before they are touched regardless, and their choice will be respected. (Yoga is a ‘hands on’ activity but at SEND Yogis we understand that some days the attendee may be feeling too sensitive to be touched, or may never want to be touched at all. The reason we would use touch is to adjust their position in a pose - either to avoid them from hurting themselves or to allow them to express the full extension of the pose, or to aid breath and relaxation with acupressure/touch practises.  (Please see ‘Safeguarding’ for more info))

  • The session will consist of a mixture of practises each week to include asanas (poses), breathing techniques and relaxation methods. Each week will be a different flow.

  • For classes, at the end of the session, they will be asked to put their shoes and socks etc back on and collect their belongings. (Again, if the attendee needs help with this, you are of course welcome to come in and help.)

 

Some other policies:

  • At SEND Yogis, we adhere to a strict ‘no follow’ policy. This means that should the attendee leave the premises for any reason, we will not follow them. They will of course always be encouraged to stay and we would hope they are able to see the class as a ‘safe space’ but we understand sometimes individuals may feel the need to ‘escape’ the situation. If you would deem the attendee likely to do this, please inform the session leader and we will work together on this. You will always be contacted immediately should this event occur.

  • Related to the above point, if the attendee is struggling to settle and becomes a danger to themselves or others, you may be asked to take them home or, for 1:1s, we may end the session early. This is always a last resort but will sometimes be necessary. No attendee will ever be ‘banned’ from SEND Yogis; however, it may sometimes be the case that an individual requires 1 to 1 session(s) before they are able to reintegrate into a class environment safely. The attendee's health, safety and wellbeing is always top priority at SEND Yogis.

  • We appreciate that some individuals may need items such as fiddle toys to keep them in a calm state. We would ask that, where possible, they are encouraged not to bring them into class. However, if they do need to in order to feel safe and comfortable, please ensure it is a silent toy that will not distract others. In our practise, we will sometimes use ‘breathing balls’. If you would like more information so that the attendee can practise at home, please speak to the session leader.

 

Our safeguarding information:

  • NSPCC Guidelines recommend providing full information about the ‘touching process’. Yoga is a ‘hands on’ practise.

  • The safety of all attendees is always paramount at SEND Yogis and guidelines exist to protect them. Sometimes during yoga, it will be necessary for the session leader to assist individuals ‘hands on’ to keep them safe. An example of when a ‘hands on’ approach is needed includes to make an adjustment to encourage understanding of a pose or assistance if yoga is being practiced in an unsafe way and the instruction can’t be communicated differently. The individual's permission will always be obtained beforehand when supporting/assisting them appropriately, as mentioned above.

  • Yoga can address the whole person - from physical development to emotional balance. As a result, attendees can sometimes express emotions physically. Our staff will never initiate physical affection from attendees, but if they initiates a ‘hug’, we will return a ‘hug’. If you do not consent to the attendee receiving physical affection, please inform the session leader. You may be asked to put this in writing.

Booking and Cancelling Policies:

 

For online bookings:

  • Attendees must book a place via our online system to be admitted into the session.

  • Payment must be completed in full before the session begins.

  • If the attendee can no longer attend, they should cancel their booking. 

  • If the cancellation is made over 24 hours before the start of the session, a full refund will be given.

  • If the cancellation is made under 24 hours before the start of the session, 50% of the cost of the session will need to be paid. If the payment method ‘POS’ was chosen, the client will need to instead make an Offline Payment (Bank Transfer). This must be completed by 11.59pm, the day of the session.

  • The first time a client cancels under 24 hours, no payment needs to be made.

  • If the cancellation is made on the day of the session, the full cost of the session will need to be paid. If the payment method ‘POS’ was chosen, the client will need to instead make an Offline Payment (Bank Transfer). This must be completed by 11.59pm, the day of the session.

  • If, for any reason, SEND Yogis has to cancel a session, the client will be given a full refund as soon as possible. 


For offline bookings:

  • The session should be booked online either by the client or by a member of staff. This will be agreed when the session is organised. The client should check they have a booking confirmation email. 

  • Payment must be completed in full before the session begins.

  • If the attendee can no longer attend, they should cancel their booking. 

  • If the cancellation is made over 24 hours before the start of the session, a full refund will be given.

  • If the cancellation is made under 24 hours before the start of the session, 50% of the cost of the session will need to be paid, plus any additional costs that have been pre-agreed. If the payment method ‘POS’ was chosen, the client will need to instead make an Offline Payment (Bank Transfer). This must be completed by 11.59pm, the day of the session.

  • If the cancellation is made on the day of the session, the full cost of the session will need to be paid, plus any additional costs that have been pre-agreed. Payment Policies:

Ways to pay

There are three ways to pay for our services:

  1. Online ‘Credit/Debit Payment’  (This method is completed at the time of booking and available for online bookings only)

  2. ‘Offline Payments’ (Bank Transfer) (To be completed by the individual any time up to the start of the session)

  3. Offline ‘POS’ (Card Reader Machine) (To be completed in person, at the booked session)


Loyalty cards

  • We run a loyalty card system for our classes. 

  • For every 9 sessions attended, 1 (the 10th) is free of charge.

  • To receive a stamp, the client must be paying full price for the class, and attend. 

  • Only one stamp per person per session.

  • Loyalty cards cannot be shared or swapped.

  • The free session must still be booked via the normal system. 

  • Loyalty cards refresh every September.

Bundle payments

  • When you agree to the bundle, you agree to the T&Cs attached to that bundle. 

  • Loyalty card stamps cannot be applied to sessions paid for as part of a bundle.
